  1. Overview of Cost Adjustment Orders

Cost Adjustment Orders are used to correct cost deviations, adapt to market changes, or handle special business cases such as procurement price fluctuations, inventory loss, and public expense allocation. Once audited, the system calculates a new product cost price based on the unit price specified in the order plus the remaining balance cost.
  2. Understand the purpose of Purchase Inward Receipts

The Purchase Inward Receipt (购货入库单) is used for receiving, inspecting, and recording purchased goods to ensure quality and quantity. Unlike a Purchase Order (购货订单), which only records the intent to buy, the Purchase Inward Receipt actually performs the stock-in operation and triggers financial settlement (reducing account balances) upon approval.
  3. Understand the difference between Sales Orders and Sales Outbound Notes

In the system, a Sales Order (销货订单) only records the transaction upon audit. In contrast, a Sales Outbound Note (销货出库单) performs two critical actions upon audit: it triggers the actual physical outbound movement of goods from the warehouse and processes the financial settlement to increase the corresponding account balance.
  4. Understand the difference between Sales Orders and Sales Delivery Notes

A Sales Order (销货订单) records customer demand and purchase intent to guide subsequent sales and delivery processes; it does not trigger inventory changes. In contrast, a Sales Delivery Note (销货出库单) is used to execute the actual shipment, reducing inventory levels and updating financial account balances.
  5. Manage Fund Accounts in ERP Financial Module

Fund Accounts are used to record and monitor financial income and expenditures. They must be selected in purchase/sales documents and payment/receipt vouchers to track cash flow. Key configuration fields include:

    • Balance Date (余额日期): The cutoff date for the account balance.
    • Opening Balance (期初余额): The initial balance at the start of a specific period, used for subsequent accounting calculations.
  6. Understand the purpose of Other Outbound Orders

Other Outbound Orders are used for inventory changes not related to sales, such as:

    • Consumables (maintenance tools, office supplies)
    • Non-settlement items (gifts, accessories)
    • Damaged goods
    • Material transfers between departments or warehouses.

Unlike Sales Outbound Orders, Other Outbound Orders do not require a customer association or financial settlement to process the stock exit.

  7. Manage organizational roles and user permissions

The system uses a three-tier structure: Organization Architecture, User Roles, and User Management.

    • User Roles: Act as position management and are assigned to users.
    • Permissions: Functional and data access limits are defined within the Role Management settings to control what a user can operate or view.
  8. Understand the purpose of Document Expenses

Document Expenses (单据费用) serve as a settlement tool for all additional expenditures associated with specific documents, such as transportation, handling fees, or utility costs paid to third parties. These are commonly found in Purchase Inbound (购货入库单) and Sales Outbound (销货出库单) documents. The system displays a list of all unsettled or partially settled expenses, including the document type, document number, expenditure content, total amount, and already settled amount.
  9. Export Sales Outbound Note data

To export Sales Outbound Note data, select the desired documents by checking the boxes in the list and click the export button in the top-right corner. Ensure that 'Document Information' (单据信息) is selected in the export options. Because the list is paginated, if you need to export a large volume of records, adjust the number of items per page using the pagination settings at the bottom of the list before exporting.
  10. Add products to a Purchase Return Order

There are three ways to input products into a return order:

    1. Pop-up Selection: Click the selection button to open a dialog where you can search for products or filter by category.
    2. Barcode Scanning: Enable scanning mode and use a barcode scanner. The system matches the scanned barcode against the product database. Scanning the same item multiple times increments the quantity automatically.
    3. Product Search: Directly enter the product name, alphanumeric code, or specification into the 'Product Name' field.
  11. Settle Payment Orders using Settlement Orders

To change the settlement status of a Payment Order (especially those created manually), use a Settlement Order to offset it against other documents (like a Purchase Receipt/购货入库单).

    Steps to settle:

    1. Create a Settlement Order.
    2. Select the settlement type as 'Prepayment offsets Accounts Payable' (预付冲应付).
    3. Select the corresponding supplier.
    4. Select the documents to be offset (e.g., the Payment Order and the Purchase Receipt).
    5. Click 'Automatic Calculation of Settlement Amount' (自动核算结算金额).
    6. Save and audit the document.

Once processed, the settlement status of the documents will update based on the settled amount.

  12. Create an Other Income Order

Use the Other Income Order to record funds received from sources other than sales (e.g., scrap sales, installation/repair services).

    Key Fields:

    • Customer (客户): Optional.
    • Order Date & Number (单据日期、单据编号): Defaulted; numbering rules can be modified in the 'Numbering Rules' configuration.
    • Income Details (收入明细): Use the '+' button to add items. Select the 'Income Category' (configured under Data -> Financial Data -> Income Category) and enter the 'Amount'.
    • Funding Account (资金账户): Required. This specifies where the funds are deposited.
    • Organization/User/Personnel: Used for data permission control.
