What's inside Venue Scheduler

  1. Overview of Venue Location Management

The Locations module is used to manage venue locations where events and schedules take place. Each location includes a complete address profile and can be configured with specific stands and positions. Locations are integrated across the system and are required for creating schedules, event assignments, and linking member availability.
  2. Overview of Bulk Notifications

The Bulk Notifications system allows administrators to send email communications to selected teams or individual members. To ensure compliance and privacy, the system sends a separate individual email to each recipient rather than using CC or BCC, ensuring recipient lists remain private. It supports short text-only messages (max 150 characters), advanced rich HTML content via a formatting toolbar, and file attachments.
  3. Overview of the Check-Out tab

The Check-Out tab is used by organizers to track and record member departures from an event. It provides a centralized interface to manage resource check-outs, view the total duration resources spent on-site, and reverse accidental check-outs. This data is used for audit trails, compensation, and scheduling purposes.
  4. Overview of Venue Scheduler capabilities

Venue Scheduler is designed to bridge the gap between event staffing planning and real-time execution. It provides a centralized system to manage staff and volunteer placement, track certifications and eligibility, facilitate fast QR-based check-ins, monitor real-time fulfillment during events, and generate system-based reports.
  5. Overview of Venue Scheduler

Venue Scheduler is a tool designed to help users plan schedules and manage event-day execution. It provides visibility, speed, and accurate reporting for event management.
  6. Manage resource check-ins using the Check-in Tab

The Check-in Tab allows event organizers to manage resource check-ins on the day of an event. Key capabilities include using QR code scanning for fast entry, verifying compliance requirements, and tracking overall attendance.
  7. Manage and organize stands in the Overview Table

The Stands Overview table allows for the organization and quick editing of venue areas.

    Key Table Features:

    • Sorting: Click column headers (Stand Name, Zone) to sort ascending or descending.
    • Filtering: Use the "Search stands..." input in the Action Toolbar to filter by name or zone in real-time.
    • Row Expansion: Click a stand name to expand the row and manage position details inline.

    Available Actions per Stand:

    • Edit (Gray Pencil): Modify stand details.
    • Manage Positions (Blue People Icon): Open the position configuration dialog to define position types and required quantities.
    • Delete (Red Trash Icon): Remove the stand. Note: Stands cannot be deleted if positions are already assigned.
  8. Manage events using the Event View interface

The Event View provides a comprehensive event management interface. It organizes event administration into specific tabs for managing the following: details, members, check-in/out processes, stands, adjustments, statistics, and event history.
  9. Access and use the Dashboard overview page

The Dashboard provides a high-level overview of activity, quick actions, and key statistics. It consists of a header/context area, summary widgets, and shortcuts to common actions. Access is available to Admins and typically to Members, depending on specific role rules. If certain widgets are missing, verify the user's role permissions.

    • Support for driver's license verification and location-specific document requirements (upcoming features).
  11. Manage resource check-outs using the Check-out Tab

The Check-out Tab is used to process resource check-outs, track the exact departure times of resources, and calculate the total duration of attendance for those resources.
  12. Access the Event Resourcing Stats tab

The Stats tab provides real-time visualization of event resourcing status, displaying live statistics on how positions are filled across zones, clubs, stands, and positions. This helps organizers monitor staffing levels and identify gaps during an event.
