https://thm-health.github.io/PILOS-Docs/User documentation for the PILOS video conferencing platform, featuring guides on room creation, membership management, and personalized room links. The platform utilizes BigBlueButton (including version 3.0) to provide virtual spaces for teaching and meetings, with specific roles for moderators, presenters, participants, and guests.
What's inside PILOS
- To open your user profile, click on your own name in the top right menu bar and select 'Profil' from the dropdown menu. From this view, you can manage your personal data, time zone, and profile settings.
Contact PILOS Email Support
For complex questions and technical problems, a ticket system is available via email support at pilos@thm.de.mailto:pilos@thm.deUse the Public and Private Chat in BBB
The public chat allows all users to exchange messages. It can be toggled via the 'Öffentlicher Chat' (Public Chat) button on the left. Messages from moderators are highlighted in bold. To send a message, enter text and click the arrow icon or press Enter.
To start a private chat with a specific person, click their name in the participant list and select 'Privaten Chat starten' (Start Private Chat). Users can switch between private and public chats using the left-side menu. New messages in other chats are indicated by a small red icon.
Enable a room for the public room search
Room owners can make their rooms discoverable in the room search. This is recommended for digital offices or lectures that should be open to all THM members. Configuration for this is located in the room security settings.Start a video conference in PILOS
To initiate a video conference that has not yet begun, click the "Starten" (Start) button. This action starts the conference and automatically adds the user to the room. Only the room owner and moderators have the permission to start a conference by default. If a user lacks these permissions and the room has not been started, they will see a loading circle and the message "Der Raum ist noch nicht gestartet." (The room has not started yet).Manage your microphone and audio settings
Users can toggle their microphone by clicking the microphone icon at the bottom of the screen. A green icon indicates the microphone is active, while a grey, crossed-out icon indicates it is muted. Audio devices can be changed by clicking the arrow next to the speaker/headphone icon. To leave or rejoin the audio conference, click the speaker or headphone icon and select the participation mode (Listen or Microphone).Shortcut to toggle microphone: - Windows: Alt + M - Mac: Control + Option + M Shortcut to start/stop audio: - Start: Alt + J (Windows) / Control + Option + J (Mac) - Stop: Alt + L (Windows) / Control + Option + L (Mac)Filter rooms by room type
If the text search is insufficient, you can narrow down results by selecting one or more room types from the list on the left side and clicking 'Anwenden' (Apply). Filters can be used in combination with the search field to further refine the results.Manage and delete personalized room links
Personalized room links can be edited or removed from the "Personalisierte Raumlinks" tab:
- Editing: Click the edit icon to change the assigned name or role, then click "Speichern" (Save).
- Deletion: Click the trash can icon to manually delete a link before it expires.
- Expiration: Links have a limited lifespan based on the last time they were used (currently 6 months). Links are automatically deleted after the expiration date.
Use the Whiteboard and upload presentations as a Presenter
The Whiteboard is restricted to the Presenter role. To upload slides, click the plus (+) symbol at the bottom left and select 'Präsentationen verwalten'. Files can be uploaded via file picker or drag-and-drop. The Presenter can determine if participants are allowed to download the presentation and which presentation is currently active.
Important: Office files (Word, Excel, PowerPoint) are converted to vector graphics via Open Office, which removes animations and transitions. It is strongly recommended to upload lecture slides as PDF files.
Start and share a PILOS room
Once a room is created, you can launch the video conference by clicking the 'Starten' (Start) button. To invite other users, click the 'Teilen' (Share) button and then the 'Kopieren' (Copy) button to copy the access credentials to your clipboard for distribution via email or other means.Join a PILOS room
Users can join a room using one of the following methods:
- Room Owners/Members: Access rooms via the personal home page.
- Public Rooms: Use the room search feature to find publicly listed rooms.
- Invitation Link: Paste the received invitation link directly into the web browser's address bar.
Note on Access Codes: Some rooms are protected by an access code. If you are not already a member of the room, you will be prompted to enter this code to gain entry.
Use new chat features in PILOS (BigBlueButton 3.0)
The updated chat interface in PILOS (based on BigBlueButton 3.0) now supports the following interactions: editing or deleting your own messages to correct typos, using a direct reply function to respond to specific messages for structured discussions, and using emoji reactions for quick feedback.
