https://psm-doc.benefitcz.czDocumentation for PSM, a web application used for the registration and distribution of postal shipments, both internally and externally. The system includes features for scanned mail digitalization, periodic subscription management, certificate tracking, reporting via data sources, and integration with SAP HR and the BA portal.
What's inside PSM
- PSM is a browser-based application that utilizes an API for data retrieval. It uses a corporate authentication service for security and integrates with both internal corporate systems and external data sources to function.
Manage system lookup tables (Číselníky)
Lookup tables (Číselníky) are lists of values used across various parts of the system to provide selectable options for users. These tables are located within the Settings menu and are grouped into logical categories such as Postal Shipments (Poštovní zásilky), Periodicals (Periodika), and Certificates (Certifikáty). A search tool is available within the Settings menu to quickly locate specific lookup tables. Users with the appropriate permissions can modify existing values, add new records, or delete items from these tables.Monitor and manage expiring periodical subscriptions
To track upcoming expirations of periodical subscriptions, use the following two tools:
- The overview of expiring subscriptions (přehled expirujících odběrů).
- The dedicated widget.
To notify a subscriber about an ending subscription, navigate to the subscription record detail and use the notification button. This sends the subscriber detailed information about the expiration and a link to the BA portal to create a subscription extension request.
View shipment distribution paths and detailed information
To view the distribution path of a specific shipment, click on the shipment entry within the data grid; the path will be displayed in the right context panel. To access full detailed information about a shipment, including its attachments, click on the shipment ID.Understand PSM application access and security
PSM is a web-based application for recording and managing the distribution of postal shipments both internally and externally. Access is managed via the following security constraints:
- Deployment: The application is accessed via a web browser and requires no local installation.
- Authentication: Access is restricted to authorized users and requires two-factor authentication (2FA).
- Authorization: User access and permitted operations are controlled by specific assigned roles (permissions).
Understand and configure application home page widgets
Widgets are pre-configured mini-reports or indicators that users can add to the application's home page to provide a quick overview of relevant information. Users can manually place widgets within a grid system on the main page. The supported widget sizes are 1x1 and 1x2.Manage employee periodical subscriptions
The company allows employees to subscribe to specific periodicals defined in a central registry. Before a subscription can be established, a formal subscription request must be submitted. For each subscription, the system records the periodical's name, publication period, and publisher. Some periodicals are available in electronic format.Understand PSM notification channels
The PSM system uses notifications to alert workers to important events, primarily during shipment distribution and as a communication tool with external parties. Currently, the system supports two channels:
- Email: Notifications are delivered to the user's corporate email inbox.
- Notice Board (Nástěnka): Messages are delivered to the application homepage (currently not in active use).
Understand Authorized Conversion of electronic documents
Authorized Conversion (Autorizovaná konverze) is the process of converting an electronic document (data message) into a physical paper document. The resulting paper document carries the same legal weight as the original electronic version. The conversion is always performed using the original file with the.zfoextension. Requests for this conversion are initiated via the BA portal, where the applicant chooses between receiving only the.zfofile (to handle conversion themselves) or requesting the postal service to perform the authorized conversion.Understand Batch Activation types for data anonymization
In the Benefit system, data anonymization is organized into 'batches' (dávky), where each batch is a process for anonymizing a single data table. A batch is triggered by an 'activation' condition. There are two types of activation:
- Direct Activation (Přímá aktivace): The system evaluates the activation condition (e.g., 3 years since an employee left the company) against all records in the table. If records match the condition and have not been anonymized yet, the system anonymizes the defined attributes or the entire record.
- Indirect Activation (Nepřímá aktivace): The batch does not define its own activation event. Instead, it is linked to a parent batch. When the parent batch is activated, the system checks for dependent indirectly activated batches and triggers them based on a defined linking condition to determine the scope of data to be anonymized.
Understand the Employee Directory (Číselník pracovníků) data source and structure
The Employee Directory is automatically updated daily via integration with the SAP HR system. It contains core employee data including personal numbers, full names, KID, organizational unit (OJ) affiliation, supervisor information, default office location, and contact details (phone and email).
Employee records are categorized into the following tabs:
- Standardní: Permanent and agency employees of the company.
- Externí: External collaborators (e.g., G4S employees).
- Nezařazení: Unassigned employees.
- Archivní: Archived records.
- Dodavatelé/důchodci: Suppliers and retirees.
- Dočasně neaktivní: Temporarily inactive employees (e.g., those on maternity leave).
- Budoucí nástup: Future hires. Once their employment begins, they are moved to one of the other categories.
Use the Certificates data source for reporting
The Certificates data source provides a comprehensive overview of both valid and archived certificates. It is used to generate statistics on the number of issued certificates or to create detailed lists of certificates filtered by provider, company, or employee.
Available data attributes include:
- Certificate attributes: Issue date, expiration date, and certificate name.
- Holder details: Name, organizational unit, and personal identification number.
- Provider details: Information regarding the certificate provider.
