What's inside Wise

  1. Overview of the Selection Tool (Selecties)

The Selection tool allows users to generate lists of customers, instances, and other entities based on custom filters. These lists and the search queries used to create them can be saved for future reuse and shared with colleagues. Access to the selection module is restricted to users with an ADMIN role.
  2. Overview of the Unified Library System (Eengemaakt Bibliotheeksysteem) renewal projects

The Unified Library System (Eengemaakt Bibliotheeksysteem) was launched with 10 specific renewal projects aimed at improving library operations and technical integrations:

    1. Updating personal data via the national register (Rijksregister). Note: This is currently stalled as Cultuurconnect did not receive access for an automated technical link; updates via the Flemish government's MAGDA platform are pending.
    2. Membership and lending within library cooperation forms.
    3. Implementation of a Business Intelligence (BI) tool.
    4. Improving frontend integration (e.g., enabling payments within 'Mijn Bibliotheek').
    5. Automation of the ordering process.
    6. Linking memberships (e.g., linking students to parents).
    7. Renewal of inter-library loan services.
    8. Integration with municipal accounting systems.
    9. Developing a more functional API to replace the SIP2 protocol for self-checkout kiosks.
    10. Direct data entry into the updated Open Vlacc.
  3. Overview of Customer Badges (Klantbadges)

Customer Badges are used to provide quick additional descriptions for specific customers or to grant them specific permissions. A primary use case is the 'Onbemande openingsuren' (Unmanned opening hours) badge, which can be used by self-checkout providers to determine if a customer has access to an unmanned library based on their PIN and assigned badge.
  4. Generate an overview report of cabinets in use

To obtain a list of cabinets currently in use within your library, generate a possession statistics report. The resulting BIRT report will list all cabinets in the selected branch that contain objects.

Navigation path: Exemplaren > Exemplaarstatistieken > Bezitstatistiek.

    Configuration for the report:

    1. Select the desired branch (vestiging) from the list.
    2. Set the Detail level (Detaillering) to '5 – Kast'.
  5. Stay updated on Cultuurconnect and Wise library system changes

Cultuurconnect provides several communication channels to keep libraries informed about changes and important aspects of the library system (Wise). It is recommended that at least one or more staff members actively monitor these channels to filter and distribute relevant information to other colleagues via internal library channels.

    Available communication channels include:

    • Basecamp Platform: Used for sending critical information to designated users per library.
    • Newsletter: Contains news, tips, and updates regarding the learning platform and the library system. Subscription is available via the footer of the Cultuurconnect website.
    • Wise Recent Release Page: Provides a weekly overview of small and large changes or bugfixes in Wise. Users can subscribe to receive email updates via the option at the bottom of the page.
    • Basic Infrastructure Recent Bugs Page: Documents new bugs and problems as they emerge. Users can subscribe to this page for updates.
  6. Access and generate reports in Wise

Wise provides three primary ways to gain insight into operations:

    1. Statistics: General figures and counts.
    2. Lists/Overviews: Found via specific menu items (e.g., Customers > Overviews, Copies > Overviews).
    3. Custom Selections: Tailored reports created via 'Statistics and Selections > Selections' using specific selection criteria.

While basic statistics and lists are accessible to all user roles, the 'Statistics and Selections' module (used for specific analyses, key figures, and custom selections) requires the ADMIN role.

  7. Understand Wise organizational hierarchy

Wise uses a hierarchical structure to organize libraries and their financial/administrative relationships:

    • Vestiging (Branch): The basic unit representing a physical location (e.g., a main library, prison library, or mobile library). Users select a specific branch upon login to define their current workspace.
    • Instantie (Instance): A collection of branches representing the library organization as a whole. Instance codes follow the format I + 3 digits (e.g., I200). Branch codes use these same 3 digits followed by a sequence number (e.g., 2001).
    • Financiële Organisatie (Financial Organization): A grouping of branches that allow payments between each other. Every Instance is a Financial Organization, but a Financial Organization can encompass multiple Instances in cases of advanced collaboration.
    • Samenwerkingsgroepen / netwerken (Collaboration Groups/Networks): Groups of Instances that collaborate within the Wise system at various levels.
