What's inside Zille

  1. Navigate the Project Management and Output Management panels

The Project Management interface consists of two primary panels:

    1. Left-hand panel: Displays an overview of all outputs (subtitles or audio descriptions) organized by the content they are created for.
    2. Right-hand panel: Displays general project details including project title, timeline, and status.

To access the Output Management page, click on a specific output (e.g., "English subtitles") in the left panel. To return to the main project overview, click the selected output again, click the background mountain image, or use the arrows at the top of the right-hand panel.

  2. Understand when to create a Team on the Zille Platform

Creating a team on the Zille Platform is intended for organizations or managers who need to collaborate with colleagues, manage localization and accessibility projects, invite employees or freelancers to a Talent Pool, and manage platform subscriptions. Individual contributors—such as linguists, script writers, or voice actors (talents)—do not need to create a team.
  3. Manage the project timeline and task scheduling

The project timeline provides an overview of start times, deadlines, and a calendar view for all tasks. Expanding an output via the '+' symbol reveals individual task sets.

    Editing Timelines:

    • Start/End Times: Click the start time to change it, or click the end time to change the duration. Use the 'Fixed' option to set a specific deadline instead of a duration.
    • Dependencies: Updating a task's timing automatically updates dependent tasks.
    • Navigation: Use the full-screen icon in the top-right for a larger view, and the '+' / '-' buttons to zoom the calendar.

Batch Updates: To update multiple tasks simultaneously, select multiple tasks on the left-hand side of the output name, modify the start or end time of one output, and click 'update all selected'.

  4. Manage external contributors using the Talent Pool

The Talent Pool is used to manage and connect external contributors—such as linguists, script writers, and voice actors—with your team. Adding a person to the Talent Pool is a prerequisite for assigning project tasks to them.
  5. Understand how changes are saved in Zille Subtitle Editor

The Zille Subtitle Editor automatically saves all changes. The save status is indicated on the toolbar at the top of the editor. To ensure changes are successfully persisted, a stable internet connection must be maintained.
  6. Manage project names and video uploads

Projects are assigned a default name (e.g., 'Project 1234'), which can be renamed by clicking the bar at the top of the project creator.

To add videos during the 'Videos' step of project creation:

    1. Click 'Upload video' and select the files.
    2. Click 'Next' and select the source language (the language spoken in the video).
    3. Click 'Upload'.

If videos are not yet available, select 'Upload later' to provide a predicted video name, source language, and approximate duration. Individual videos can be renamed by clicking on the video name bar.

  7. Access the Zille Timed-Audio Editor

To open the Timed-Audio editor for an assigned task, navigate to 'Assignments' in the left-hand menu, select the appropriate project, and click the 'Enter editor' button. Upon opening the task, you must provide your Multi-Factor Authentication (MFA) code, which is delivered via text or an authenticator app based on your registration settings.
  8. Record audio in Timed-Audio Editor

Record audio directly into the editor to have it automatically time-coded to the script and saved immediately.

    Steps to record:

    1. Open the audio panel by clicking the 'Audio' button above the Event script panel.
    2. Click the red recording button to start from the beginning of the event.
    3. To start recording at a specific time: Navigate to the desired time and hold Alt (Windows/Linux) or Option (Mac) while clicking the red recording button.

Countdown Settings: By default, a 3-second countdown occurs. To change this, click the three-dot menu, select Recording countdown, and set your preferred duration.

  9. Import or replace source files for outputs

You can use external files as the source for an output. Replacing a source file will trigger changes to be applied to target outputs.

    Importing a file:

    • Select output $\rightarrow$ Right panel 'Source' $\rightarrow$ 'Upload file' $\rightarrow$ Select file.

    Replacing a file:

    • Select output $\rightarrow$ Right panel 'Source' $\rightarrow$ 'Replace file' $\rightarrow$ Select new file.

Matching Logic: When replacing files, the system attempts to link new events with existing ones:

    • Matched events: Treated as updated.
    • Unmatched existing events: Treated as deleted.
    • Unmatched imported events: Treated as created.

Users can drag and drop events to correct any matching errors during the review process.

  10. Flag and navigate to subtitle events in Timed Text Editor

Subtitle events can be flagged to track specific segments that require future attention. To flag an event, click the 'Flag' button (the third button from the left on the subtitle event). To remove the flag, click the 'Flag' button again. All flagged subtitles are tracked in the top toolbar; clicking the orange status indicator allows for quick navigation through all currently flagged events.
  11. Batch update Trickle-Down Changes for multiple outputs

To apply the same source output to multiple target outputs simultaneously:

    1. Click 'Outputs' at the top of the project page.
    2. Select the desired target outputs from the table (ensure no filters are hiding the required outputs).
    3. Click 'Source' at the bottom of the outputs table and select the source output.

Note: If the 'Source' column is not visible, go to 'Customise' > 'Columns' to enable it.
