What's inside Synplex

  1. Overview of Synplex external system integrations

Synplex connects to three categories of external systems to manage products, inventory, and orders:

    1. Shopify (Required): The core connection used by all users to sync products, inventory levels, locations, and orders in real time.
    2. Supplier Catalogs (Optional): Used by those who create purchase orders (POs) to import supplier SKUs, unit costs, minimum order quantities (MOQs), and lead times, allowing costs to pre-fill in POs.
    3. Custom / ERP (Optional): Used by teams with existing business systems to connect Synplex to accounting systems, 3PLs, warehouses, or internal tools via API.
  2. Overview of Supplier Catalog Integration

Supplier catalog integration allows you to match supplier SKUs to Shopify variants to automatically store and update unit costs, Minimum Order Quantities (MOQs), and lead times. Once matched, these values pre-fill automatically when creating Purchase Orders (POs), eliminating manual price lookups. Costs are updated via manual file uploads or recurring API syncs.
  3. Overview of Synplex inventory management capabilities

Synplex is an inventory management platform designed for Shopify stores. It integrates with Shopify to import sales history and provide the following core functionalities:

    • Demand Forecasting: Generates forecasts per-variant and per-location based on Shopify order history.
    • Replenishment Planning: Uses a 365-day inventory simulation to calculate recommended order quantities, reorder dates, and predicted stockout dates.
    • Purchase Order (PO) Management: Facilitates the creation and tracking of POs, including landed costs, shipment receiving, and optional synchronization with Shopify inventory.
    • Transfer Order Management: Planning and execution of stock movements between different locations.
    • ABC/XYZ Classification: Ranks products based on their revenue contribution and the predictability of their demand.
    • Alerts and Reporting: Provides a KPI dashboard, scheduled reports, and configurable alerts for stock events.
  4. Overview of Synplex Inventory UI features

The Synplex inventory interface consists of three primary UI components for managing product catalogues:

    1. Inventory Report: The central table used for analyzing, filtering, sorting, and taking action on the full product catalogue.
    2. Saved Views: User-defined combinations of filters and columns that can be saved for one-click reuse.
    3. Variant Detail: A comprehensive detail page for individual variants that includes KPIs, charts, supplier network information, location configuration, and master data.
  5. Overview of Synplex configuration sections

Synplex settings are divided into focused areas that control how the system calculates status, grades products, and manages inventory:

    • Procurement settings: Controls stock buffer, running low thresholds, and overstock thresholds.
    • Product assessment settings: Controls daily average days, performance review periods, dead stock thresholds, ABC/XYZ grading parameters, and demand anomaly sensitivity.
    • Notification settings: Manages the default email address used for alerts and reports.
    • Locations: Determines which Shopify locations are included in stock calculations.
    • Product exclusions: Uses Shopify tags to hide specific products from all metrics and recommendations.
    • Procurement strategy: A per-variant, per-location setting that determines if replenishment is suggested.
  6. Understand Shopify data synchronization mechanisms

Synplex uses two automated mechanisms to keep inventory data accurate. No manual trigger is required for these processes:

    1. Shopify Webhooks: Provides real-time push notifications (within seconds) whenever a product, variant, inventory level, or order changes.
    2. Daily Reconciliation: A full re-read of all Shopify data performed once per day overnight to act as a safety net for any missed webhook events.
  7. Understand the automated demand forecast schedule

Synplex generates demand forecasts automatically on the 1st of every month at 04:00 UTC. The process targets every active product variant across every active location with sufficient sales history. Each shop is processed independently. To prevent duplicate runs, a shop is skipped if it already has a successful completed forecast from the previous 7 days. Forecasts are also triggered during initial app setup when historical sales data is first imported.
  8. Manage multiple shipments for a single Purchase Order

A single Purchase Order (PO) can be split into multiple shipments, allowing each shipment to be assigned to a different Shopify location. Each shipment tracks its own quantities independently. To view the overall status of the PO, the PO detail page provides aggregate totals for ordered, delivered, accepted, and announced quantities across all associated shipments.
  9. Understand Demand vs Supply Planning fundamentals

Demand Planning focuses on predicting what customers want to buy, while Supply Planning focuses on managing the inventory available to meet that demand. The primary goal is to balance these two to minimize stockouts (lost sales) and overstock (capital waste and storage costs).
  10. Understand Assembly-to-Order (ATO) demand explosion

Demand explosion ensures that components used in Assembly-to-Order (ATO) BOMs are replenished correctly even if they have no direct sales history. Synplex calculates the total demand for a component by multiplying the forecasted sales of every active parent SKU by the quantity of that component required per unit of the parent SKU.
  11. Understand Synplex data synchronization via Webhooks

Synplex uses webhooks as its primary data synchronization method to receive real-time updates from Shopify, ensuring inventory data remains current without requiring manual intervention.
  12. Understand the onboarding wizard workflow

The wizard consists of five steps. Steps 1–4 are a single form held in memory; no data is saved to the shop until the user clicks Finish Setup & Start Processing on Step 4. Users can navigate back and forward between these steps without losing input.

    1. Welcome: Confirms Shopify connection.
    2. Supplier & Procurement Settings: Configures lead times, MOQ, and thresholds.
    3. Analytics & Classification: Configures ABC/XYZ parameters and anomaly detection.
    4. Notifications & Launch: Email configuration and final save.
    5. Background processing pipeline: A live progress view of data processing.
