What's inside Dr Logbook

  1. Overview of Dr Logbook features and capabilities

Dr Logbook is a digital logbook for medical practices and education designed for doctors in Greece. It allows users to record activities across four main domains: Clinical, CPD, Teaching, and Research. Key capabilities include:

    • Specialty Program Tracking: Integration with the official government gazette (ΦΕΚ) to automatically track specialty requirements.
    • Verification: Requesting and receiving verification of practices from supervisors.
    • Assessment: Use of structured evaluation forms and rubrics.
    • CPD/CME Tracking: Monitoring credits per activity.
    • Automated Documentation: Generation of CVs in Word format (supporting Vancouver or APA citations) and PDF reports for educational committees.
    • Data Integration: Importing publications from ORCID and PubMed.
    • Cross-Platform Access: Available on Web, iOS, and Android with automatic data synchronization.
  2. Understand the role of a Supervisor in DrLogbook

A supervisor is a physician responsible for approving (validating) procedures performed by a user so that these procedures can be counted toward educational programs.
  3. Manage DrLogbook user settings and profile

All user settings are accessed via the Profile icon in the top right of the interface. The settings are organized into the following sections:

    • Profile Elements: Name, specialty, title, and photo.
    • Preferences: Theme (Light, Dark, System), notifications, and citation styles.
    • Security: Active sessions and biometric unlocking.
    • Subscription: Plan details, coupons, and billing history.
    • Jobs: Work locations and the currently active location.
    • Supervisors: Supervisor and verification settings.
    • Organizations: Membership details for joined organizations.
    • Data and Privacy: Data protection settings.
  4. Access and use the Asclepius administration environment

Asclepius is a dedicated management environment for organization administrators within Dr Logbook. It is accessible only via web browsers (not available on mobile) at the /asclepius path. To access this area, the user must be logged in with an account that has the Administrator role for at least one organization.
  5. Understand Activities in Dr Logbook

An 'Activity' is the primary unit of information in Dr Logbook, representing any medical action recorded by the user, such as clinical acts, on-call shifts, conference presentations, publications, or teaching hours. Activities are stored centrally in the user account; all other application views (programs, reports, CV, statistics) are simply different perspectives of these same activities. Changing a hospital, specialty, or program does not affect existing activity records.
  6. Identify target users for Dr Logbook

Dr Logbook is designed for three primary user roles:

    • Medical Residents (Ειδικευόμενοι ιατροί): For recording and validating specialty practices.
    • Supervisors (Επιβλέποντες): For verifying the practices of their residents.
    • Specialist Doctors (Ειδικοί ιατροί): For organizing CPD, managing their CV, and tracking their clinical career path.
  7. Understand action logging states and categories in DrLogbook

Action logging in DrLogbook utilizes two independent status tracking systems and five activity domains:

    1. Status States:

    • Publication Status: Draft (Πρόχειρη), Published (Δημοσιευμένη), or Scheduled (Προγραμματισμένη).
    • Verification Status: Verified (Επαληθευμένη), Unverified (Μη επαληθευμένη), Rejected (Απορριφθείσα), or Not Required (Δεν απαιτείται).

    2. Activity Domains: Actions are categorized into five domains, which can be used for filtering:

    • Clinical (Κλινική)
    • CPD
    • Teaching (Διδασκαλία)
    • Research (Έρευνα)
    • Other (Άλλο)

Additionally, CME points can be assigned per action.

  8. Navigate the DrLogbook Calendar view

The Calendar page provides a visual overview of activities. Users can switch between different time views (Month, Week, Day, or Agenda) using the view selector at the top of the page. Navigation controls include buttons to move to the previous or next time period and a 'Today' button to return to the current date.
  9. Monitor activity via the Main Dashboard (Cockpit)

The main dashboard (cockpit) provides a quick visual overview of activity for the current week. It features a bar chart showing the number of actions per day, color-coded by verification status: verified, pending, rejected, and draft.
  10. Understand the importance of role assignment in DrLogbook

In DrLogbook, roles must be defined for each individual activity. A user may hold different roles across different procedures (e.g., Primary Surgeon for one and Assistant for another). Accurate role assignment is critical because:

    1. Training programs often require a specific number of procedures in a specific role (e.g., '50 cholecystectomies as Primary Surgeon').
    2. Statistics are broken down by role.
    3. The generated CV presents activities based on these role designations.
