What's inside DreamApply

  1. Overview of methods to add applications to scoresheets

There are three ways to add applications to scoresheets for systematic assessment. Using criteria is the recommended method for complex scoring logic to avoid redundant assignments or missing scores.

    1. Using Criteria (Recommended): Define evaluation criteria and assign them to programmes. DreamApply automatically adds applications to the relevant scoresheets based on these criteria.
    2. Using Rules: Set up automation rules to add applications based on specific requirements.
    3. Manual Adding: Administrators or applicants manually assign applications to scoresheets, which is useful for unlisted scoresheets.
  2. Overview of DreamApply Tables

Tables in DreamApply are interactive, spreadsheet-like views designed for organizing, exploring, and sharing application data. They function as modular building blocks that allow users to select specific data to display, apply filters, and adjust layouts to meet specific reporting and admission review needs. Key capabilities include creating custom data views, sharing tables for collaboration, exporting data for offline analysis or archiving, and promoting high-priority tables for quick access.
  3. Overview of the DreamApply student enrollment workflow

DreamApply streamlines the student enrollment process through a multi-stage workflow designed for admission teams to identify and select the most qualified candidates. The core enrollment process consists of four primary stages:

    1. Review applications: Setting up the review workflow and processing incoming applications.
    2. Score applications: Evaluating applications based on predefined evaluation criteria.
    3. Rank applications: Identifying and selecting top candidates based on scores.
    4. Send out offers: Issuing final offers to the selected applicants.
  4. Overview of DreamApply application scoring

DreamApply provides built-in scoring tools that allow institutions to create custom scoring models based on specific evaluation criteria. The system supports scoring by both the admissions team and applicants (if enabled). DreamApply automatically aggregates these results, calculates final scores, and ranks candidates to accelerate decision-making and improve selection accuracy.
  5. Overview of AI Highlighter capabilities

AI Highlighter is a tool within DreamApply that integrates third-party Large Language Models (LLMs) to assist Administrators with admission tasks. It is designed as a helper tool; administrators are responsible for verifying AI outputs against original documents using the provided reasoning trail. Key capabilities include:

    • Data summarization: Creating concise summaries of application data.
    • Document parsing and data extraction: Extracting key information from application data and uploaded documents.
    • Classification and labeling: Automatically categorizing applications based on specific criteria.
    • Validation and consistency checking: Detecting discrepancies in applications.
    • Text translation: Translating materials into the institution's primary language.
    • AI-driven image verification: Analyzing uploaded images, such as passport photos.
  6. Overview of DreamApply Meetings and Events tools

DreamApply provides tools to organize and manage structured event schedules for domestic and international applicants. Supported event types include lectures, classes, seminars, auditions, and on-campus open houses. The system supports two primary meeting formats:

    • Onsite meetings: Physical locations within institution premises.
    • Virtual meetings: Online sessions conducted via conferencing tools.
  7. Overview of DreamApply resource access policies

Resource access policies allow Administrators to have either full system access or restricted access to specific resources. These policies complement role- and permission-based access control, ensuring Administrators only interact with relevant data. Policies are configured at the Administrator account level.
  8. Overview of additional services inventory in DreamApply

DreamApply allows institutions to create an inventory of services or items that applicants can purchase after submitting their applications. Items are added to a shopping cart and checked out within the system. Each purchase automatically generates a receipt (invoice) accessible to the applicant in the Finance view of their portal.

There are two visibility modes for inventory items:

    • Visible items: Shown directly to applicants in the portal.
    • Hidden items: Not publicly visible; accessible only via a private link.

Inventory items are associated with specific applications; if an applicant has multiple applications, each has its own list of available items.

  9. Overview of DreamApply and HubSpot integration

DreamApply integrates with HubSpot using private apps to export applicant data. Exported data is registered as contact records in HubSpot and linked to a specific contact owner. DreamApply creates custom properties under the 'DreamApply information' group to store specific data such as applicant ID, citizenship, and registration date.

    Exported data includes:

    • Email address
    • Full name
    • Location/citizenship
    • Phone number (with country code)
    • Language preference
    • Registration date
    • DreamApply applicant ID
    • DreamApply applicant reference code
    • DreamApply applicant matriculation number
