What's inside FullClarity

  1. Overview of FullClarity Microsoft 365 / SharePoint Integration

FullClarity allows users to store File Storage documents within their own Microsoft 365 tenant using SharePoint document libraries. This 'bring-your-own-tenant' model ensures documents remain under the organization's own access controls, retention, eDiscovery, and DLP policies. FullClarity does not hold sign-in credentials, certificates, or secrets; these are stored within the user's NetSuite account. The integration uses the Sites.Selected permission, meaning the application only has access to specific SharePoint sites explicitly granted by the administrator with 'Write' permissions.
  2. Overview of FullClarity Connect

FullClarity Connect is a suite of web and mobile applications designed to provide project stakeholders—including site teams, head contractors, subcontractors, and vendors—secure access to project data without requiring a NetSuite login. It enables users in the field or office to submit and track progress claims (including photo uploads via the mobile app), view work orders, and share documents, with all data syncing directly back into FullClarity within NetSuite.
  3. Overview of FullClarity Subcontracts workflow

Subcontracts is a FullClarity capability that enables head contractors to manage subcontractor work end-to-end, from award through variations, progress claims, and payments. The system uses NetSuite as the single source of truth, syncing data between the head contractor's NetSuite environment and the subcontractor's Connect apps.

    The Subcontract Lifecycle:

    1. Creation: Head contractor creates the Subcontract and Schedule of Values (SoV) in NetSuite.
    2. Visibility: Subcontractor views work orders via Connect Mobile.
    3. Claiming: Subcontractor submits a progress claim via Connect Mobile.
    4. Assessment: Head contractor assesses the claim line-by-line in NetSuite.
    5. Finalization: Head contractor finalizes the assessment. For NZ CCA subcontracts, a statutory Payment Schedule can be generated. For AU SOP Act and UK HGCRA, the head contractor must issue the Payment Schedule/Pay Less Notice manually.
    6. Payment: Approved claims are converted to Vendor Bills in NetSuite for payment.
    7. Variations: Changes to scope follow a parallel approval workflow showing original values and prior variations.
  4. Overview of FullClarity AI integration

FullClarity provides built-in support for AI assistants (such as Claude and ChatGPT) via the NetSuite AI Connector Service. This service is built on the Model Context Protocol (MCP), allowing users to query NetSuite data—including projects, estimates, contracts, and costs—using natural language. The AI assistant operates using the user's own credentials and role, ensuring it only accesses data permitted by that specific role.
  5. Overview of Certified Documents SuiteApp

Certified Documents is a FullClarity SuiteApp designed to manage the full lifecycle of compliance documents—such as insurance certificates, licenses, safety tickets, accreditations, and identity evidence—for vendors, customers, and employees. It automates the process of requesting, submitting, approving, and renewing documents, replacing manual spreadsheet tracking.
  6. Overview of the FullClarity Project Tracker

The Project Tracker is a shared workspace integrated directly into NetSuite, used during the implementation of a FullClarity SuiteApp. It eliminates the need for external spreadsheets or email threads by providing a centralized location for logging implementation issues and recording User Acceptance Testing (UAT) results. It is specifically designed for the period between kick-off and go-live; once the engagement is closed, the tracker becomes read-only. Post-go-live support should be handled through standard FullClarity support channels.
  7. Overview of Connect Mobile for Subcontractors

Connect Mobile is a field-companion app for the Connect web platform. It allows subcontractors to look up work orders, attach photos to claims, and submit progress claims on-site.

    Key functional differences between platforms:

    • Mobile Only: Submitting a progress claim is only possible via the mobile app.
    • Web: Used for reviewing purchase orders and projects on a larger screen.

Note: As of the current version, photo attachments and push notifications are not yet available, and assessment outcomes are not shown within the app.

  8. Overview of Multi-project Billing

Multi-project billing is used for developments consisting of multiple individual lots (e.g., residential estates or staged developments). It allows you to bill work across many lots in a single claim while maintaining separate contract and revenue tracking for each lot. This feature uses stage billing (fixed milestones like Deposit, Base, Frame, etc.) rather than percentage-complete billing.
  9. Overview of Property Development setup

A development is used when delivering many similar dwellings on one site (e.g., residential estates or townhouse blocks) where lots are built from a few repeated designs. The primary goal is to price a design once via a 'Plan' and reuse that pricing across multiple 'Lots'. This structure also serves as the foundation for multi-project billing, allowing multiple lots to be billed as a single community on one consolidated invoice.
  10. Overview of Cost Centres in FullClarity

A cost centre defines the structure of budget categories (e.g., Preliminaries, Concrete, Electrical) available for projects. When a cost centre set is assigned to a project, only the categories within that specific set are available for estimates, budgets, and transactions. Multiple cost centre sets can be created to support different project types (e.g., residential vs. commercial).
  11. Overview of Contracts & Billing in Project Financials

The Contracts & Billing module manages the customer-facing financial lifecycle of a project. It allows users to convert a won bid into a contract, define the billing structure, raise progress claims for specific billing cycles (typically monthly), and generate NetSuite invoices upon certification. A contract record tracks the total contract value, the billing structure, and the history of all claims and variations.
  12. Overview of Vendor Bid Requests in FullClarity

A Vendor Bid Request is a record used to manage a round of pricing for a specific estimate. It allows a user to send a set of items and quantities to multiple vendors, who then provide pricing via a secure online bid form. FullClarity creates an individual bid record for each invited vendor under the main request, enabling side-by-side comparison of responses. The request is organized into the following subtabs:

    • Overview: Displays a Bid Line Summary of all scope lines once bids arrive.
    • Bids: Manages individual vendor bids, invitation status, and the process of preferring or awarding work.
    • Categories: Contains the specific scope lines selected from the estimate for pricing.
    • Mail Merge: Manages invitation and reminder email templates.
    • Files: Contains supporting documents (drawings, specs) shared with vendors.
