  5. Understand ViPOS Pro price and condition calculation

The net price of an item at the time of sale is determined by the combination of the item's base price, any automatic position conditions, and any manual conditions applied by the seller.

The total sum of a sales document at closing is determined by the sum of individual positions (subtotal), any automatic document conditions, and any manual document conditions applied by the seller.

Market group settings control the following:

    • Maximum number of manual conditions per document line.
    • Whether manual and automatic position conditions can be used simultaneously.
    • Whether manual and automatic document conditions can be used simultaneously.
  6. Manage and edit existing customer records

    2. To Edit: Click the Edit symbol, modify the data, and click the checkmark (Haken) symbol to save. Click the 'x' symbol to discard changes.
    3. To Delete: Click the trash can (Papierkorb) symbol in the detail view to delete the customer record.
  7. Understand ViPOS Pro article data organization

In ViPOS Pro, article data is organized based on the following rules:

    • Every article must belong to exactly one Article Group.
    • Every article must have a sales unit, a price quantity, and at least one tax indicator.
    • Sales articles typically have one or more base prices, which vary by validity date and validity area (e.g., all markets or specific market groups).
    • Articles may optionally have one or more scan codes.
    • Some articles are designated as set-articles.
  8. Manage Characteristics (Merkmale)

Characteristics are attributes that can be assigned to items, item groups, or customers. They can be searched and filtered in the overview. To edit a characteristic, select it from the list, click the edit icon, and save changes using the checkmark icon.
  9. Understand the ViPOS Pro organizational hierarchy

ViPOS Pro uses a strict hierarchical data model for organizing business operations. The hierarchy is structured as follows: Company $\rightarrow$ Market $\rightarrow$ Department $\rightarrow$ Cash Register (POS).

    Key organizational rules:

    • Every Cash Register (POS) must be assigned to exactly one Department.
    • Every Department must be assigned to exactly one Market.
    • Every Market must be assigned to exactly one Company.
    • The following codes must be unique across the entire enterprise: Company Code (COMCode), Market Code (MARCode), Department Code (DEPCode), and Cash Register Code (POSCode).
  10. Understand Set-Articles in ViPOS

A Set-Article is a composite item consisting of multiple individual products. These products can have the same or different VAT (MwSt.) rates. The Set-Article itself does not have a fixed price in the POS program; instead, its total price is calculated as the sum of the prices of its individual component articles. To identify it as a set, the tax code (Steuercode) must be set to "SET".
  11. Understand Online vs Offline interface operations

    • Online Interfaces: Access ERP system data directly via ODBC during a sales transaction. If the connection fails, the system falls back to local cached data in the POS database. The connection is set to 'Offline' and only reconnects upon restarting the POS software.
    • Offline Interfaces: Operate exclusively between the POS Server database and the ERP system. These are used for bulk data transfers (uploads), typically performed overnight.
