What's inside Skapp

  1. Overview of Custom Leave Allocations

Custom leave allocations allow administrators to grant additional leave days to individual employees beyond their standard entitlements. This is typically used for bonus leave, compensatory leave, or one-time adjustments. Access to manage these allocations is restricted to users with the Super Admin and Leave Admin roles.
  2. Overview of the Skapp business management platform

Skapp is an all-in-one business management platform designed to simplify operational complexities and foster collaboration for modern organizations. It provides a centralized solution to eliminate inefficiencies caused by fragmented systems and siloed workflows.
  3. Overview of the Skapp business management platform

Skapp is an all-in-one business management platform designed to simplify operational complexities and foster collaboration. It integrates three core business functions—HR, Project Management, and Finance—into a single centralized solution to eliminate fragmented data management, reduce administrative costs, and remove bottlenecks caused by a lack of self-service tools.
  4. Overview of Skapp Attendance Management

Skapp Attendance Management provides tools for tracking and managing employee work hours. Key capabilities include seamless clock-in/out via the top navigation bar, manual time entry for missed logs, timesheet tracking with daily logs and export options, and a supervisor workflow for approving or declining time entry requests.
  5. Overview of Leave Carry Forward

Leave carry forward allows organizations to transfer unused leave balances from one cycle to the next. This ensures employees retain entitled leave days based on company policies, such as maximum carry-forward limits and expiration dates.
  6. Overview of Skapp Community setup process

Setting up the Skapp Community environment consists of three main sequential steps: configuring the MySQL Server, setting up the Skapp Backend, and setting up the Skapp Frontend.
  7. Create a custom leave allocation

To grant additional leave to an employee:

    1. Navigate to Leave > Leave Entitlements in the navigation bar.
    2. Scroll to the Custom Allocation section and click the Add Custom Allocation button.
    3. Fill in the following mandatory fields:
      • Employee Selection: Search for and select the target employee.
      • Leave Type Selection: Select an active leave type from the dropdown.
      • Number of Days: Enter the amount of leave (must be in increments of 0.5).
      • Effective From: Select the date the employee becomes eligible for this allocation.
      • Expiration Date: Select a date after the 'Effective From' date.
    4. Click Save.
  8. Upload and validate the user CSV file

After preparing the template, click Next in the Add People Modal and drag-and-drop the CSV file or browse to select it.

The system validates the file based on the following requirements:

    • File Format: Must be CSV.
    • File Size: Maximum 5MB.
    • Template Structure: Column headings must match the downloaded template exactly.
  9. Handle clock-in attempts during scheduled leave

If a user attempts to clock in on a day with scheduled leave, Skapp displays a confirmation modal detailing the leave. The user has two options:

    • Clock in anyway: Overrides the leave schedule and starts time tracking.
    • Close: Cancels the action and returns to the previous page.
  10. Approve or decline time entry requests

Supervisors can take immediate action on pending time entry requests directly from the Requests Awaiting Approval table:

    • Approve: Click the Approve button to update the employee's time entry for the specified date with the requested changes.
    • Decline: Click the Decline button to reject the time entry request.
  11. Assign leave entitlements to a user

In the Entitlement Details section, administrators can allocate leave days to employees. To add an entitlement:

    1. Select the applicable Year.
    2. Choose the Leave Type from the dropdown.
    3. Specify the Number of Days.
    4. Define the Effective From and Expiration Date.
    5. Click the Add button to save the entry to the table.

Note on Merging: Multiple records for the same leave type will be merged into a single record with the cumulative number of days if the effective and expiration dates are identical.

  12. Delete holidays from the system

There are three ways to remove holidays from Skapp:

    1. Delete All: Click the Delete All button (visible only if future holidays exist) and confirm in the modal.
    2. Delete Selected: Select multiple holidays using checkboxes in the table and click Delete Selected.
    3. Delete Single: Click the trash can icon next to a specific holiday in the table.

Note: The system prevents the deletion of holidays that conflict with existing leave requests. If a bulk deletion is attempted, holidays with conflicts will remain and an error message will be displayed.
