What's inside Prodigy EMS

  1. Overview of SFTP User Sync

SFTP User Sync automates user provisioning by importing CSV rosters from a secure FTP endpoint into Prodigy. It handles creating new accounts, updating existing records, and deactivating terminated employees. Prodigy checks for new files every 5 minutes. The feature is available on request; organization admins must contact their Prodigy representative or support@prodigyems.com to activate it.
  2. Understand the purpose of Groups in Prodigy

Groups are used to organize users for three primary functions:

    1. Training Plan Assignment: Organizational training plans are assigned to groups. Users added to a group automatically gain access to the associated training plan in their training plans tab.
    2. User Tab Filtering: The user table can be filtered by group to manage large populations more efficiently.
    3. Class Assignments: Classes can be assigned to entire groups (e.g., all Paramedics or all FTOs) by filtering the assignment list by group.
  3. Manage multiple departments using the Organization view

The Organization view provides administrative access to all departments within a specific organization. Users with an organizational role possess the same capabilities as a department training officer but can manage multiple departments simultaneously. Key capabilities include:

    • Creating and sharing classes and training plans across all departments in the organization.
    • Running reports and managing users for all associated departments.
    • Making assignments for all users within the organization.

This is particularly useful for roles like a system Medical Director who oversees multiple departments and shares training assets.

  4. Understand Prodigy EMS network requirements

Prodigy is a web application delivered entirely over HTTPS on port 443. It requires no local installation, no inbound connection rules, and no special ports or protocols. Any machine capable of standard HTTPS web browsing can access Prodigy, provided no network filtering layers are interfering.
  5. Manage department users and roles

The Department Users tab provides a centralized table of all staff members. You can sort the table by clicking column headers and filter users by Status (Active or Inactive), User Role (General User, Training Officer, or Admin), and Groups. To export the current filtered view, use the Export button to download a CSV. Clicking a user's name opens their individual user record.
  6. Add and configure uploaded video segments

Upload videos directly to Prodigy to utilize the internal content delivery network. The duration is automatically calculated.

    Configuration Options:

    • Content Name: The name displayed on the class player page.
    • Overview: A description appearing under the video.
    • Prevent Seeking: If enabled, users must watch the entire video without scrubbing.
    • Play Content Automatically: If enabled, the video starts automatically and triggers the next video in sequence upon completion (Note: Auto-play support varies by browser).
  7. Recommended workflow for building certificate layouts

    To efficiently build a layout:

    1. Start with an existing layout using Fill form using existing layout to avoid starting from scratch.
    2. Adjust section positions in the editor.
    3. Use the Refresh button with section colors enabled to verify the placement of regions.
    4. Use Preview with Certificate Template to test the design with actual logos and signatures.
    5. Save as a draft and contact support for final publication.
  8. Manage Recertification Training Plans for users

Training officers can review all training plans associated with a user and add certifications that impact those plans. Training plans automatically load when an NREMT or State EMS Credential associated with a plan is entered for a user. Classes completed between the initial date and the expiration date of the training plan are counted toward the plan's requirements.
  9. Define certificate layout positioning using JSON

Certificate layouts use a percentage-based coordinate system on a 100 × 100 grid, where (0, 0) is the top-left corner. Layouts are defined by 'sections' (rectangular regions) that contain content elements.

    General Guidelines:

    • Maintain a margin of 2-3% on all four sides to prevent content from being trimmed during printing.
    • Use the Preview sections color swatch in the editor to detect overlapping regions.
    • To start quickly, use the Fill form using existing layout dropdown to clone a Prodigy layout.
  10. Create and configure a new Training Plan

Training Officers can create custom training plans using a mix of Prodigy system content and organization-specific custom content. To start, navigate to the Training Plan tab and select Add Training Plan.

    Configuration Fields:

    • Training Plan Name: The name displayed to users. Must be descriptive and under 50 characters.
    • Description: Supports rich text (links, bold text, lists) and appears below the plan name.
    • Training Plan Image: Optional square image for the details page (recommended minimum 1000 x 1000 px).
  11. Perform negative reporting for missing certifications

To identify users who lack a specific certification (e.g., identifying who has not yet uploaded a CPR card), navigate to: Reporting -> User Certifications -> Status -> No Certification.
