What's inside Posternik

  1. Overview of the Posternik system

Posternik is a system designed to verify employee entitlements with high speed and accuracy. It utilizes artificial intelligence to scan payslips and attendance reports, extract relevant data, and calculate entitlements according to collective agreements and extension orders, ultimately generating clear reports.
  2. Overview of the Sick Leave Report

The Sick Leave Report is used to identify discrepancies between the system's calculated sick leave accruals and payments versus the actual values appearing on the employee's pay stub. The report displays tables side-by-side and can be exported to Excel using the 'Export to Excel' (יצא לאקסל) button located at the top left of the screen. Each row in the report represents a specific calculation month.
  3. Understand the Monthly Aggregate Calculation report

The Monthly Aggregate Calculation report provides a consolidated view of hours derived from daily reports. Each row in this report represents a calculated month. The report includes a final summary line that aggregates all monthly data to provide a total for the entire employment period recorded in the system.
  4. Understand the One Month Hours calculation report

The One Month Hours report provides the same information as the Daily Hours report but filtered for a specific selected month. Its primary purposes are to display monthly hours calculated within a specific month's partition and to allow users to view the calculated report alongside the original payroll slip and attendance report on a single screen.
  5. Understand the Scan Results Review screen layout

The scan results review screen is divided into two main areas to facilitate data verification: the left side displays the original scanned document, and the right side displays the extracted data. The system highlights extracted data on the scanned page; hovering over a data point in the right panel will highlight the corresponding field on the document. The central divider is adjustable to resize the two areas. The right panel is further divided into 'General Data' and 'Attendance Data'.
  6. Understand the Holiday Payment report purpose and data sources

The Holiday Payment report is designed to identify gaps between the system's calculated holiday pay and the actual payment recorded in the employee's payroll slip. The report can be exported to Excel using the 'Export to Excel' button in the top left.

Each row in the report represents a calculation month with the following fields:

    • Holiday Name: Retrieved from the calendar.
    • Calculated: The value calculated by the system based on eligibility and pay rules.
    • Actually Paid: The value taken directly from the payroll slip.
    • Difference: The gap between the calculated value and the actual paid value.
  7. Understand the Convalescence Pay (Avraa) report

The Convalescence Pay report calculates an employee's entitlement to convalescence pay based on their job scope (derived from attendance reports), seniority, and the applicable tariff (Public or Private sector). It compares the calculated entitlement against the actual payments appearing on the employee's payroll slips. Each row in the report represents a calculation month, and a summary row provides totals for all columns. The report can be exported to Excel using the 'Export to Excel' button.
  8. Understand the purpose of the Vacation Report

The Vacation Report is designed to identify discrepancies between the vacation accruals calculated by the system and the accruals recorded on payroll slips. It also compares actual vacation payments made to the entitlement calculated by the system according to legal requirements.
  9. Understand the One Month Calculation Report layout

The One Month Report is designed to display all discrepancies for a selected month. The report interface is split into two main sections:

    1. Left Side: Displays a snapshot of the payroll slip and the attendance report (selectable via a dropdown).
    2. Right Side: Displays the calculation report, which is divided into the following sections:
      • Identification details
      • Salary components table
      • Convalescence pay (דמי הבראה)
      • Employer contributions
      • Employee deductions
      • Absences
      • Additional data and notes

Users can export the calculation part of the report (excluding source documents) to PDF by clicking the 'Export PDF' (יצא PDF) button in the top left.

  10. Understand the Attendance and Salary Calculation report

The Attendance and Salary Calculation report is designed to identify payment discrepancies for working hours. It compares entitlement (what the employee should have received) against actual payments (what was recorded in the pay stub).

    Data Sources:

    • Attendance Report: Used to calculate the entitlement of hours.
    • Pay Stub: Used to calculate the actual payment received.

Constraint: Months will not be displayed in the report if both a pay stub and an attendance report are not provided for that period.

  11. Understand the Monthly Detail Calculation Report

The Monthly Detail Calculation Report displays a detailed calculation of hours and wages per shift for a specific month. The report lists all monthly reports for a specific employee sequentially. Users can export these reports to Excel using the 'Export to Excel' button located at the top left of the screen.
  12. Understand the Social Contributions Report

The Social Contributions report identifies the discrepancy (difference) between the system-calculated entitlement and the actual contributions recorded in payroll slips for three categories: Employee contributions, Employer contributions, and Employer severance fund contributions.

    Data Sources & Assumptions:

    • Base Salary: Calculated based on attendance reports if available; otherwise, based solely on payroll slips.
    • Salary Substitutes: The system extracts substitutes (e.g., sick leave, vacation, holiday pay) from payroll slips.
    • Missing Data: If a payroll slip is missing for a specific month, no calculation is displayed for that month.
    • Rates: Contribution rates are retrieved from the 'Parameters' screen and vary based on the Collective Agreement type.
