  9. Understand the PDF List columns

The PDF List page provides an overview of configured PDFs via four columns:

    • Label: Displays the internal PDF label. Hovering over this row reveals the Edit, Duplicate, and Delete actions.
    • Template: Shows the selected PDF template and its group (e.g., 'Core'). It also displays notices if the template's version requirements are not met.
    • Notifications: Lists which form notifications are configured to attach this specific PDF.
    • Shortcode: Provides a 'Copy' button to save the PDF download link shortcode to the clipboard for use in Confirmations or Notifications.
  10. Understand Gravity PDF default access permissions

By default, Gravity PDF implements a conservative security model to prevent unauthorized access. Access is granted based on the following criteria:

    1. Administrators and Super Administrators: Have access to all PDFs.
    2. Users with gravityforms_view_entries capability: Any WordPress role assigned this capability can access all PDFs. This can be modified via global User Restriction settings or a role editor plugin.
    3. Entry Owners: The user who submitted the form can access their own PDF via:
      • IP Matching: The system compares the current IP address with the one stored in the entry. By default, logged-out users have a 20-minute window after submission to access the PDF via IP match.
      • User Authentication: If the IP doesn't match or the timeout has expired, and the user was logged in during submission, they are redirected to login. Once authenticated, their User ID is compared to the entry owner ID.
      • Active Session: If already logged in, the User ID comparison happens automatically.
  11. Configure the Montgomery PDF Certificate template

The Montgomery template is a premium single-page PDF certificate. Configuration is managed via the Template tab. For optimal visual results, it is recommended to use ALLCAPS for the Title, Subtitle, and Introduction settings. The design and color scheme are fixed and cannot be changed.
  12. Understand the Gravity PDF template hierarchy

Gravity PDF uses a template hierarchy that allows developers to override core plugin templates by placing files with the same name in the PDF Working Directory. This ensures that custom modifications are not lost during plugin updates.

    Loading Order:

    1. Standard WordPress: PDF Working Directory $ ightarrow$ Core Gravity PDF templates.
    2. Multisite WordPress: Subsite PDF Working Directory $ ightarrow$ Global PDF_EXTENDED_TEMPLATES directory $ ightarrow$ Core Gravity PDF templates.
