What's inside GRADR
- GRADR is a gym management platform designed for martial arts academy owners and staff. It provides a centralized owner portal to manage student enrollment, class scheduling, grading, payroll, and billing.
Overview of GRADR gym management platform
GRADR is a browser-based gym management platform specifically designed for Brazilian jiu-jitsu (BJJ) academies, though it can track members of other disciplines (e.g., Muay Thai, wrestling, yoga). It centralizes student rosters, class scheduling, attendance, belt grading, curriculum, billing, instructor payroll, retail sales, and messaging. It requires no local installation and can be used as a home-screen app on mobile devices.Overview of the GRADR Lead Flow system
The Lead Flow is a built-in trial booking system that provides gyms with a public booking link for prospective students. It automates the capture of contact details, experience level, class bookings, waiver signatures, and referral sources, funneling this data directly into the Leads section of the portal.Manage student profiles and progression
Click a student's name to access their profile, which contains five tabs:
- Overview: Contact info, Portal access, and retention alerts.
- Billing: Tier, payment method, status, and family links.
- Attendance: Filterable check-in history.
- Progression: Belt rank, milestones, promotion history, and badges.
- Notes: Private text field for gym owners and staff.
Recording Promotions & Badges:
- To record a promotion: Click + Add Promotion, select the rank, and save.
- To award a badge: Click + Award Badge and select the badge.
Understand the difference between Template View and Week View
The Schedule uses two distinct modes to manage classes:
- Template View: Defines the recurring class structure. Changes made here (adding, deleting, or modifying times/types) affect every future week permanently.
- Week View: Manages actual class instances for a specific calendar week. This is used for day-to-day operations like assigning instructors, cancelling single occurrences, or closing the gym for a day. Navigation between weeks is handled via 'Prev', 'Next', and 'This Week' controls.
Navigate and manage GRADR gym settings
GRADR settings are organized into tabs and sub-sections to manage gym operations. Most settings are accessible via the main sidebar tabs, though some specific configurations are nested within other tabs.Use the Dashboard for quick gym operations
The Dashboard serves as the home base for gym management. Two primary action buttons are located in the top-right of the page:
- Open a Class: Launches the kiosk check-in interface for students.
- Record a Sale: Opens the Point of Sale (POS) register to process product or merchandise sales.
Understand Intro Program functionality
Intro Programs are fixed, ordered lesson sequences designed for onboarding new students. Unlike regular Blocks that rotate through Areas on a schedule, Intro Programs cycle through a predetermined set of lessons in a specific order. When a student finishes the last lesson, the cycle restarts. Intro Programs also support optional auto-graduation upon completion of the sequence.Configure Retention Alerts for student monitoring
Retention Alerts are a dashboard surfacing tool used to identify students who are at risk of churning or have reached membership milestones. This feature does not send automated emails; it flags students on the Dashboard's Retention Alerts card so administrators can follow up personally.Understand the role of Areas in the GRADR curriculum
Areas are positional categories used to organize a curriculum (e.g., Guard, Side Control, Mount, or Back). They function as the organizational layer for other curriculum components:
- Systems: Technique sequences that reside within a specific Area (e.g., specific sweeps within the Guard area).
- Blocks: Scheduled rotations where each week of a Block maps to a different Area.
- Belt Requirements: Area requirements can be set per belt rank.
Understand the per-milestone class count system
GRADR uses a milestone-based system for promotions where each belt is broken into a sequence of milestones (stripes and the final belt promotion).
- Adults: 4 stripes + 1 final promotion (5 milestones total).
- Kids: N stripes (configurable 1–4) + 1 final promotion.
Crucial Logic: The class counter resets after every milestone is awarded. A student does not carry over classes from one stripe toward the next; the count starts from zero after each milestone is achieved.
Understand the GRADR Curriculum hierarchy
The GRADR curriculum is organized in a three-tier hierarchy to structure technique training:
- Areas: Define the broad positional category (e.g., Guard).
- Systems: Specific game plans or technique sequences within an Area (e.g., De La Riva entries and counters).
- Blocks: The scheduling mechanism that rotates through Areas; instructors reference Systems when planning the specific details of classes within a Block.
