What's inside FOLIO

  1. Overview of the Receiving app

The Receiving app is used to confirm that materials ordered via purchase order lines in the Orders app have been delivered to the library. It can be accessed via the FOLIO app bar or through the action menu of an order with an 'Open' or 'Closed' status in the Orders app.

    Key terminology:

    • Package: A purchase order representing the acquisition of multiple titles.
    • Piece: A subsection of a receiving title (e.g., a specific volume of a journal).
    • Receive: Confirming all or part of an order has been delivered.
    • Receiving title: The title of the ordered material, which may have one or more pieces attached.
    • Unreceive: Marking a previously 'received' order as not delivered.
  2. Overview of the Claiming app

The Claiming app is used to identify pieces of orders that are marked as 'Late' and require action. To appear as 'Late' in this app, a piece must have the 'Claiming active' box checked in the Purchase Order Line (POL) and have an 'Expected receipt date' assigned. Users can send claims to vendors, delay claims, or mark pieces as unreceivable.
  3. Overview of Data Import capabilities

The Data Import app allows users to perform the following operations:

    • Import Bibliographic MARC records for the Inventory app (create or update/overlay).
    • Import Bibliographic MARC records for the Orders app (create only).
    • Import Authority MARC records for the MARC Authority app (create or update/overlay).
    • Load EDIFACT invoices for the Invoices app to support acquisitions workflows.
  4. Overview of ERM comparisons

The ERM comparisons app allows users to compare the contents of two different e-resource collections (packages or agreements) to identify overlapping titles.

    Key terms:

    • Comparison: A record that analyzes two collections to determine which titles are present in each and where they overlap.
    • Package: A collection of e-resource titles bundled by a provider.
    • Agreement: A record outlining the content a library can access.
  5. Overview of FOLIO Lists application

The Lists app allows users to create actionable, persistent lists of records across different FOLIO applications and record types. It is used to build custom reports, enable workflows on specific record sets, and access pre-generated 'canned' lists. Key features include:

    • Near real-time data updates
    • Ability to refresh, edit, and duplicate lists
    • Exporting records to .csv files
    • Support for up to 1.25 million records per list
    • Cross-tenant query support for ECS-enabled tenants
  6. Overview of the FOLIO Reporting App

The Reporting app provides a FOLIO interface for interacting with a Metadb database. It consists of two primary sections: the Query builder, used to construct and save queries, and Saved queries, used to load, run, or edit previously saved queries.
  7. Overview of the FOLIO platform

FOLIO (Future of Libraries is Open) is an open-source collaboration of libraries, developers, and vendors. It is a library services platform that supports traditional resource management and is extensible into other institutional areas.
  8. Overview of Resource Access (Circulation) functions

Resource Access in FOLIO manages the essential circulation lifecycle of library materials. Key functional areas include:

    • Checking out and discharging library materials
    • Checking in materials
    • Managing hold requests
    • Managing course reserves
    • Managing circulation logs
  9. Overview of Local KB Admin

The Local KB admin app allows users to import e-resource metadata in KBART and JSON formats into FOLIO's local knowledgebase (KB) and monitor harvest jobs from external sources. Imported data consists of individual e-resources organized into packages, which appear in the Agreements app under the E-resources tab and can be linked as agreement lines.

Note: If the eHoldings app (which uses EBSCO's KB) is in use, Local KB admin is optional. It can be hidden via Settings > Agreements > Display settings > "Hide internal agreements knowledgebase".

  10. Overview of Electronic Resource Management (ERM) functions

The Electronic Resource Management (ERM) module in FOLIO provides essential functions for managing digital library assets, including:

    • Creating and managing agreements
    • Creating and managing licenses
    • Managing internal or external knowledge bases
    • Managing the library's electronic resources
  11. Overview of FOLIO Data Import configuration

The Data Import section of the Settings app allows administrators to configure the source and structure of import files, map incoming records to existing records, define actions (such as creating or updating records), and transform data (e.g., adding proxies or removing MARC tags).

For a new Job Profile, it is recommended to configure settings in the following order:

    1. Field mapping profile
    2. Action profile
    3. Match profile
    4. Job profile
