What's inside Cliniclah

  1. Overview of the Taskboard Kanban system

The Taskboard is a lightweight Kanban system used for clinic activities that do not fit into the appointment calendar or a specific encounter, such as follow-up calls, lab result reviews, supplier chases, and internal admin. It is designed as a shared space for 'post-it note' style reminders rather than a full project management replacement.

    Default Columns:

    • To Do
    • In Progress
    • Blocked
    • Done

Columns can be renamed, added, or rearranged via Settings → Taskboard.

  2. Overview of Multi-facility architecture

A tenant can manage multiple facilities (e.g., chain pharmacies, group practices, or a clinic with an attached lab). While they share a tenant-level owner, subscription billing, and users, each facility maintains strict data isolation for its own inventory, encounters, billing, and settings. This setup is intended for physical premises that operate independently under one company.
  3. Overview of Cliniclah Practice Management System

Cliniclah is a comprehensive practice management system designed for clinics to manage appointments, patient records, billing, e-invoicing, and reporting within a single platform. The system is intended for use by clinic owners, receptionists, doctors, nurses, and billing staff.
  4. Overview of the Patient Wallet

The patient wallet is a credit balance held for a patient. It allows patients to top up funds in advance (via deposits, packages, or refunds-as-credit) to settle future invoices without needing to provide payment at the time of service. It is also used for refunds when the original payment method is not easily refundable (e.g., banked cash or expired FPX windows).
  5. Overview of Sales & Accounting reports

Sales & Accounting reports are located under Reports → Sales & accounting. They are designed for month-end financial reconciliation, tax reporting, and accounting exports. All reports in this section share common controls: date range (preset or custom), facility selection (current or all), and export options (CSV, PDF, or accounting-format). Depending on the report, filters for doctor, panel, or category may be available.
  6. Overview of the Payment page layout

The Payment page (titled 'Payment Receivable') is accessed by clicking 'Go to Payment' from an encounter at the Dispensary stage. It consists of three primary zones:

    1. Invoice summary card (Left): Displays a running total including Subtotal, Discount, Tax, Grand Total, and Amount Paid. A colored footer indicates the balance status: Green (Fully Paid), Blue (Pending Claim), or Red (Balance Due). Pencil links allow for inline adjustments of discounts, taxes, and rounding.
    2. Collect Payment panel (Right): The active area for recording payments, which varies based on whether the payment is cash, panel-based, or already paid.
    3. Invoice preview + Payment history (Bottom): A full-width section showing the itemized invoice and a table of all recorded payments.
  7. Overview of Cliniclah Audit Trail logging

The audit trail records every action that changes data, providing an evidence layer for PDPA compliance and internal investigations. It tracks who performed an action, when it occurred, which record was affected, and what specifically changed.

    Logged categories include:

    • Patient Access & Edits: Views (including IP), changes to name, IC, contact, allergies, and comorbidities.
    • Clinical Events: Encounter lifecycle (create, edit, close, reopen, cancel) and Note saves (diffs are stored).
    • Inventory & Billing: Receipts, dispenses, stock takes, invoice lifecycle, payments, refunds, and write-offs.
    • MyInvois: Submissions, status changes, cancellations, and credit notes.
    • Security & Users: Logins, password changes, 2FA events, IP whitelist edits, and role changes.
    • Attachments: Uploads, views, downloads, and share link management.
    • AI Features: Generation, regeneration, acceptance, and signatures.
    • System Actions: Facility settings, integration toggles, and template edits.
  8. Patient Record and History Cockpit Overview

The patient record has been reorganized for better clinical navigation:

    • Side-rail Identity Card: A persistent card showing name, IC, age, primary contact, and panel across all patient sub-pages.
    • Left-side Sub-navigation: Replaces the old tab strip with a standard Filament sub-navigation for Consents, History, Panels, Attachments, and Wallet activity.
    • History Cockpit: A new layout featuring a horizontal filmstrip, a lifetime summary card, unified search, and the ability to compare up to four visits side-by-side.
  9. Navigate and manage the Patient Page

The patient page is organized into five primary tabs:

    • View: Overview of patient identity, age, total visits, allergy/comorbidity alerts, contact details, available credit, and recent activity.
    • Edit: The full patient data form for modifying record details.
    • Attachments: Storage for documents and imaging studies.
    • Patient History: A chronological list of all past encounters (newest first).
    • Wallet: The patient's financial ledger.

Additional actions are available via the More menu at the top right, including Generate Statement, Top Up Credit, Adjust Credit, and Delete.

  10. Manage CT and CBCT imaging studies

CT and CBCT scans are now treated as single entities rather than collections of individual images.

    • Study Page: Each scan is represented by a single card showing a middle-slice preview, series type (acquisition, reformat, scout), slice count, thickness, and resolution.
    • Patient Files: Shows one entry per scan instead of one per slice.
    • AI Reports: Reports now permanently record and list the specific images reviewed, providing thumbnails that link directly to the viewer.
  11. Manage billing, plans, and allowances

The Billing page uses a card-based interface to manage subscriptions and add-ons:

    • Billing Overview: The page features tiles for Plan, Next payment, Allowances, and WhatsApp, with detailed cards for branches, storage, AI allowances, payment methods, and invoices.
    • Payment Methods: Supports both credit cards and bank transfers. Bank transfer plans include email notifications 14 days before renewal with payment details.
    • Add-ons: Adding storage or branches triggers a panel showing the immediate cost and the updated recurring payment amount.
    • AI Allowances: AI functionality continues slightly past the monthly allowance before pausing until the next reset cycle.
  12. Understand the Cliniclah invoice lifecycle

In Cliniclah, invoices are not created manually; they are intrinsically linked to encounters. An invoice is automatically generated as a 'Draft' the moment an encounter is created. The invoice remains in sync with the encounter in real-time: adding, editing, or removing items in the Consultation or Dispensary tabs automatically updates the invoice lines. The invoice only transitions from Draft/Pending to 'Paid' once the balance is settled on the encounter's Payment page.
