What's inside Badgy Documentation
- The Badgy Free Plan allows users to manage events and perform attendee check-ins at no cost. It supports unlimited event imports, unlimited check-in devices, real-time synchronization, and offline support. Users can also use the Free Plan to test Print Station setups, configure test badges, and try the vendor lead capture service before upgrading.
Use check-in devices to manage attendee entry
Check-in devices are used to locate attendees via ticket QR code scanning or name search, check them into an event, and optionally trigger badge label printing. These devices connect to online Print Stations; multiple check-in devices can be linked to a single Print Station to allow multiple staff members to process attendees simultaneously.Set up a Badgy Box-based Print Station
A Badgy Box is a pre-configured device that connects directly to Zebra printers, removing the need for a laptop. It is ideal for plug-and-play experiences or events requiring many stations. A single Badgy Box can support up to 4 printers. While Wi-Fi is supported, a wired internet connection is strongly recommended for reliability during high-traffic event check-ins.Set up a Badgy Box using wired internet
Wired internet is the recommended connection method for Badgy Boxes due to higher reliability during high-traffic events.
Setup steps:
- Power on the printers and connect them to the 4 front USB ports.
- Connect the ethernet cable to the ethernet port.
- Connect the power cable via the USB-C port on the side.
- Wait 2 minutes for the Box to initialize.
- Printers will then be available for connection on your event page.
Connect a printer using a laptop
To use a laptop as a print station, you must use the Google Chrome browser. Macbooks generally require no additional setup, but Windows users may need to install drivers. Ensure the laptop is configured to not go to sleep while acting as a print station.
Steps to connect:
- Navigate to your event homepage on Badgy.
- Power on the printer.
- Connect the printer to the laptop via USB.
- Select "Set up print station" from the pop-up (or click the black printer button in the top left).
- Follow the prompts to allow printer access.
Tip: Name your printer after its badge collection point to help guide attendees.
Optimize staffing for Badgy check-in and badge printing
To maximize attendee throughput and prevent bottlenecks at registration, balance the number of staff checking in attendees with the number of staff operating Print Stations. A recommended staffing ratio per Print Station is one staff member to operate the printer and one 'greeter' equipped with a phone to scan tickets.
Based on this setup, a single printer can typically process approximately 200 attendees within a one-hour registration window. To ensure smooth flow, maintain a 5-10 meter gap between the greeter's scanning point and the Print Station to allow the operator time to prepare the badge.
Implement self check-in options
Badgy provides two primary methods for attendee self check-in:
- iPad-based Kiosks
- Attendee self check-in using their own mobile phones
Upgrade an event to Premium
Events can be upgraded to Premium directly from the dashboard. By clicking the upgrade button next to a specific imported event, Badgy automatically calculates the required number of credits for the upgrade. Users can also purchase credits for future use.Pair a check-in device to a Badgy event
There are three methods to pair a check-in device to your event. After pairing, you must select a Print Station to connect to; multiple check-in devices can be connected to a single printer, but ensure the number of devices is manageable for the staff at that station to avoid overloading the Print Station.Method 1: Click the settings button and scan the QR code from the bottom left of the screen. Method 2: Navigate to https://badgy.app/link and enter the event pairing code (the last 6 digits of your event URL). Method 3: Enter the full URL of your Badgy event directly on the device.
Perform a dry run to test event setup
To ensure the event setup works as planned, perform a dry run that exercises all elements of the system. Since it is difficult to replicate full attendee volume, simulate load by staffing print stations as they will be during the event, connecting multiple check-in devices simultaneously, and processing check-ins and prints for several users in quick succession.Hardware requirements for Badgy Print Stations
Regardless of the setup chosen, every Print Station requires the following components:
- Zebra Printer
- Laptop or Badgy Box
- Compatible Labels
Optimize lanyard distribution at check-in
To maximize efficiency during the check-in process, hand the lanyard to the attendee immediately after printing their badge. This allows the attendee to clip the lanyard on themselves, reducing the time spent at the check-in desk.
