What's inside CAFM

  1. Use Non-Residential Lease reports for contract and price analysis

The 'Nebytové smlouvy' (Non-Residential Lease) report provides an overview of current non-residential contracts, including contract attributes (tenant, period) and calculated fields for rent based on lease items and services. It is used for contract overviews and comparing rent per m2 across locations.
  2. Use Investment Cost Overview for budget planning

The Investment Cost Overview (Přehled nákladů investic) provides a high-level comparison of total investment costs over a specified range of years. It displays both planned and actual costs, as well as energy data, broken down by individual years. This view is primarily used as a basis for creating investment budgets for upcoming years.
  3. Understand monthly service billing for area usage (Aktuální stav ploch I)

The 'Aktuální stav ploch I' report provides an overview of monthly service billing for the use of areas. The payer for these services is always a Controlling Object. The billing process involves distributing the area measurement across individual controlling objects based on the following criteria:

    • Whether the area is a basic or shared area.
    • Whether the area can be reserved (e.g., meeting rooms).
    • If reservable, whether it is open to everyone or restricted to a specific whitelist.
  4. Understand Recreation Season types and configuration

A Season in CAFM is a time period (start date to end date) that defines the rules and parameters for booking recreation centers. To configure a season, you must define:

    1. The time period (from - to).
    2. The season type (Main or Secondary), which determines how bookings are created.
    3. An accommodation price list (which can be further customized individually for specific recreation centers within that season).
    4. The specific recreation centers available for booking during that season.
  5. Manage employee records and data synchronization

The system maintains a registry of employees and related persons. Most employee data is automatically synchronized daily from SAP HR to ensure accuracy. Because of this daily synchronization, editing basic employee data is disabled to prevent changes from being overwritten by the SAP HR import.
  6. Generate recreation reservation overview reports

The Rekreace report provides an overview of reservations, including reservation attributes such as the applicant (žadatel), date/term (termín), recreation center (RS), and season (sezóna). It also provides calculated values such as the number of occupied rooms and the number of participants. This is typically used for overview reports with selected attributes or for aggregating data across seasons (e.g., counting reservations per recreation center by season).
  7. Supported notification channels in CAFM

The CAFM system uses notifications to alert staff about building management, service changes, and external communications. The supported delivery channels are:

    • Email
    • SMS
    • Notice board (Nástěnka)
  8. Manage key issuance evidence

The Key Evidence system tracks who was issued keys for various objects and when. The overview is categorized into tabs based on whether the keys are held by employees or suppliers. Data can be maintained manually or imported in bulk using a provided XLS template.
  9. Use Investment Item Cost Overview for detailed cost comparison

The Investment Item Cost Overview (Přehled položek nákladů investic) allows for a detailed comparison of total costs across specific investment items (e.g., general construction, project documentation, technical supervision) over a specified range of years. It displays planned and actual costs per year, the investment phase, and other descriptive data. This view is typically used to compare costs between different individual investments.
  10. Understand the Energy Data API data source

The Energy Data API serves as a data source that flows into the CAFM system from an API designed to collect energy data from selected meters. This data source is primarily used for verifying input data and identifying problematic entries.
  11. Generate Space Passportization reports

The 'Plochy - pasportizace' report provides an overview of spaces including the values of their dynamic properties. A passportization area must be selected to generate the report, which then combines space attributes with values from the chosen passportization group. Typical use cases include identifying spaces with a specific surface type or aggregating total floor area (m2) based on properties.
  12. Generate reports for Facilities (Areály)

The 'Areály' report provides an overview of facility areas. It includes attributes such as name, type, address, region, manager, and description. It also provides calculated fields for the number of buildings, plots of land, and other entities. Users can optionally include archived areas. Typical use cases include summary reports with selected attributes or aggregations by manager (e.g., counting areas per manager).
